Background

The Report Hub allows for custom-created reports to be sent out as emailed reports on a daily, weekly, monthly or quarterly basis to users of CustomerGauge. In the below article we will show you how you can setup the report dispatch scheduler, how to set up report recipients, and how to specify the format of the emailed report. 


Setting up Recipients & Email Scheduling

If you'd like to send out your report to stakeholders on a periodic basis, you can set up a Report Dispatch.

  • You can do this in Report Edit Mode -> "Share" tab -> Schedule email dispatch section.


Recipients

To add a recipient to your report, simply search for the user's First Name, Last Name, or E-mail address in the Recipients Section. Once they are added, they will receive the report on a periodic basis based on the Report type that has been set up for them (see "Setting up Email Report type to receive" below). 

  • In order to receive a report, the recipient must be a CustomerGauge User, the user must match the access settings of the report, and they must be an enabled (non-blocked) user. You can check the Report permission in the Access Settings section (Sharing Tab) -> "Can be viewed by role" -> Admin only or Admin & User Role. If the Report is setup for Admin only access, a recipient who has a user level access will not receive the report.



Frequency

When scheduling a report for Dispatch, make sure you select the frequency you would like to have the report automatically delivered - daily, weekly, monthly or quarterly basis. 


  1. Daily
    • You will be able to choose the Time(UTC) that you wish to receive the report
  2. Weekly
    • You will be able to choose the Day of the Week and Time(UTC) that you want to receive the report
  3. Monthly
    • You will be able to choose the Day of the Month and Time(UTC) that you want to receive
  4. Quarterly
    • You will be able to choose the Time(UTC) that you wish to receive the report
    • Quarterly emails will be sent every quarter on the 1st day of the quarter (Jan 1st, Apr 1st, Jul 1st and Oct 1st)


There will a clock displaying the current UTC time to help you set it up!


Note: If you live in a region that observes some form of Daylight Savings Time, you may need to adjust the UTC time of your report dispatch when Daylight Savings occurs, else your report may arrive an hour earlier or later than expected, due to the clock change in your local timezone. 



Send test email

You can use the "Send test email" button to send a test version of the report to yourself immediately. This will only work for sending test emails to yourself, not to any Recipients. Please forward the test report to Recipients after receiving it if you need to distribute the test email further. 



Emailed Report Format (Report Dispatch Preference)

The Email Reports received can be embedded in the body of the email or added as an attachment to the email. 

  • This is a User-specific setting and can be configured in the "User Manager" or "My Profile Section"
  • Under the Settings menu item go to ->Users -> then select the user to edit (or) in the "My profile" -> Open your profile details
  • The Report Dispatch preference settings are towards the bottom of your User profile in the "Preferences" section.


This setting comes with three options, which also impacts the exact "styling" of the emailed report, in addition to the format the report is delivered in:


Auto adjust

Format

The report will be embedded within the email. If the report is longer than 1728 pixels, the PNG image will be added as an attachment to the e-mail. 


The report will also be dispatched using our "Classic" (stacked) widget format when using this option.


Style

The report will be styled such that each widget is placed in its own, full-width “row” within the report. See the bottom of this article for an example.

Format

The report is always attached as a PNG image to the e-mail, and can be easily downloaded or shared.


Style

The report will be styled to match the layout of the report as viewed directly in the CustomerGauge platform, as closely as possible. Some exceptions will apply for widgets that have a scroll bar or would be cut off in the emailed report, to prevent incomplete data from being displayed in the report. See the bottom of this article for an example. 



PDF

Format

This is the default option. The report is always attached as a PDF document to the e-mail, and can be easily downloaded or shared. PDFs will also include drill-downs where applicable (which will open in the CustomerGauge platform, prompting a login if necessary). 


Style

The report will be styled to match the layout of the report as viewed directly in the CustomerGauge platform, as closely as possible. Some exceptions will apply for widgets that have a scroll bar or would be cut off in the emailed report, to prevent incomplete data from being displayed in the report. See the bottom of this article for an example.




The default setting for all newly-created Users is PDF
