Introduction
This feature lets Global Admin users upload a CSV file to bulk-update Account References – and Account Display Names (optional) directly in the CustomerGauge platform. It enables users to correct Account data in bulk and use the Account Display Name feature more effectively, especially for systems that have existing Account Data from before this feature was introduced.
Good to Know
- If you are unclear about the differences between Account Reference and Account Display Name, we recommend reading the information about that first.
- For other Account Data corrections and management not covered by this feature, please use the “Manage Accounts” feature.
- New Account Reference must be a value that does not already exist as an Account Reference in the system.
- Certain scenarios regarding Account Aliases should be considered when using this feature. Refer to the Account Aliases section below
- The order of columns, and column headers must be exactly as the Example files attached to this article:

Account Aliases Considerations
It is important to know how Account Aliases are considered when using this feature:
Scenario 1 - There is an Account Alias in the Account being updated that has the same value as the "New Account Reference" column
In this scenario, the reference change happens and the Alias is removed, as it becomes the new primary Account Reference for the Account.
Example:
- Situation: There is an account called "ACME- 123", and it has an Alias "123", and you want to update the Account Reference to become just "123", and the Display Name to become just "ACME".
- Result: The Alias "123" gets removed. The Account Reference is now 123 and the display name is ACME.
Scenario 2 - There is another Account with an Alias that has the same value as the new Account Reference for a different Account
In this scenario, the reference change will NOT happen (it will fail validation). In the case that the other account should be the same account, you should first use the Account Merge feature and then retry any Account update references. Else, the failure helps you avoid creating two conflicting Accounts which are meant to be unique.
Example:
Situation: You have an account called "ACME - 123", and another account (Big Kahuna Burgers) has an Alias "123", and you want to update the Account Reference to become just "123", and the Display Name to become just "ACME".
Result: The record fails to be imported. The Account Reference of ACME - 123 is still the same, and Big Kahuna Burgers and its Alias remain unchanged as well.
If Big Kahuna Burgers and ACME - 123 are actually the same account, and Account Merge is needed to be done first. The Update Account References import does not perform Merge actions.
How to Update Account References
Step 1
Verify if you have access to this feature. It is only available for System Administrators.
Step 2
In the Menu, go to Settings → System Admin → Data Administration Tab → Accounts → Update Account References.
Step 3
Download the example CSV file format with the desired Delimiter – Comma (,) or Semicolon (;) - you can find these at the bottom of this article.
Step 4
Populate the file with your account information.
Note that there are three columns:
“Current Account Reference” – Mandatory: This is the Account Name/Reference that is currently being used in your CG system
“New Account Reference” – Mandatory: This is the Account Name/Reference that you would like the value in “Current Account Reference” to be updated to
“Display Name” – Optional: This is the “Display Name” that will be displayed throughout the CustomerGauge system. If left blank, the system will default to showing the value in the Account Reference field.
Note the file requirements:
CSV
Has a header row
Max 15MB
Max 50,000 rows
If your file is too large or has too many rows, break it into smaller files that are within the limits, to ensure that your file is uploaded and processed correctly without any issues.
Step 5
Click “Choose file” or drag and drop your CSV into the location indicated on the screen and click “Next” once ready.
Step 6
Confirm the Account Mapping, as displayed on the screen. If it all looks good, click “Upload”.
Step 7
You will be shown a confirmation screen with a link to view the upload progress by clicking the “Upload History” button.
